ACCEPTABLE AI USAGE POLICY

AI Policy

 


Purpose

St George’s CE Primary School recognises that artificial intelligence (AI), including generative AI tools, is increasingly present in education and wider society.

 

This policy sets out clear expectations for the safe, ethical and professional use of AI by staff. It ensures that AI is used in ways that:

  • protect children and families

  • uphold safeguarding and data protection responsibilities

  • maintain professional standards

  • align with Department for Education guidance

  • support high-quality teaching and administration

 

This policy applies to all staff, volunteers, governors and contractors working on behalf of the school.

 

Legal & Guidance Framework

This policy is informed by:

  • Department for Education: Generative AI in education – safety standards and guidance

  • Keeping Children Safe in Education (2025)

  • Working Together to Safeguard Children (2023)

  • UK GDPR and Data Protection Act 2018

  • Online Safety Act 2023

 

This policy must be read alongside the school’s:

  • Child Protection & Safeguarding Policy

  • Online Safety Policy 2025–26

  • SEND Policy 2025–2026

  • Staff Behaviour (Code of Conduct) Policy

  • Disciplinary & Capability Procedures

  • Freedom of Information & Data Handling expectations

 

AI use must never override safeguarding, professional judgement, or statutory duties

 

Definition of AI

This includes tools used for:

  • writing support

  • planning and administration

  • summarising information

  • creating teaching resources

  • data analysis

  • communication drafting

 

Principles for AI Use

All AI use in school must follow these core principles:

 

Safeguarding first

Children’s safety, dignity and privacy are non-negotiable.

Human accountability

Staff remain fully responsible for all decisions, communications and records.

 

Data minimisation

No identifiable personal data may be entered into AI systems.

 

Professional judgement

AI supports work — it does not replace professional expertise.

Transparency

Staff must be open about AI use where appropriate.

Permitted Use of AI

Staff may use approved AI tools to support:

  • lesson planning

  • resource creation

  • administrative drafting

  • summarising anonymised information

  • workload reduction tasks

  • professional research

  • communication templates (non-personal)

 

All outputs must be checked, edited and owned by the staff member.

 

Prohibited Use of AI

AI must not be used verbatim or directly to create:

  • pupil reports

  • SEND documentation

  • safeguarding records

  • behaviour logs

  • medical records

  • statutory assessments

  • references

  • formal disciplinary documents

  • any safeguarding chronology

  • documents that form part of legal or statutory processes

 

AI may assist drafting ideas, but final documents must be written by a human professional.

 

Data Protection & Confidentiality

Staff must never enter:

  • names

  • identifying pupil information

  • safeguarding details

  • SEND records

  • behaviour incidents

  • medical data

  • photographs of pupils

  • staff personal data

  • internal confidential documents

 

All examples used in AI systems must be anonymised beyond recognition.

 

A breach may constitute a safeguarding and data protection incident.

 

Pupil Use of AI

Pupils are not permitted to independently access generative AI tools unless explicitly authorised by the Headteacher for a supervised educational activity.

 

Any approved pupil use must:

  • be age appropriate

  • be supervised

  • have a safeguarding rationale

  • align with curriculum aims

  • follow online safety guidance

 

Monitoring & Oversight

The school will:

  • approve AI tools before staff use

  • review risks annually

  • monitor emerging guidance

  • update this policy as technology evolves

  • provide staff training

  • audit AI practices where required

 

Concerns about AI misuse must be reported immediately to:

  • the Designated Safeguarding Lead

  • Senior Leadership Team

 

Misuse of AI

Misuse includes:

  • uploading confidential data

  • bypassing approved systems

  • allowing unauthorised pupil access

  • using AI to make safeguarding decisions

  • generating official documents verbatim

  • breaching professional conduct

 

Misuse may result in disciplinary action under the Staff Code of Conduct and Disciplinary Procedures.

 

Staff Training

All staff will receive: 

  • annual AI awareness training 

  • safeguarding updates relating to AI

  • data protection reminders

  • acceptable use expectations

 

Training will focus on safe, ethical and professional practice.

 

Policy Review

This policy will be reviewed annually or sooner if:

  • national guidance changes

  • safeguarding risks emerge

  • new technology is adopted
